The coordination is the job
A group is not ten individual bookings stapled together. Airlines price blocked seats differently, coaches come in fixed sizes, hotels want a rooming list rather than ten separate reservations, and somebody has to chase the one person who still has not sent a passport copy.
That coordination is the actual job. We hold the block on a deposit, take names as they come in, and issue one invoice at the end. For most of our group work the deciding factor is not the fare. It is that there is a person in Brickfields who knows exactly where your booking stands.

Six kinds of group
Different groups need different things. A corporate incentive needs an invoice your finance team accepts; a wedding needs guests from four countries met at KLIA and moved together.

Company trips, sales incentives and staff rewards, with the invoicing, the manifest and the itinerary in the format your finance team actually needs.

Associations, alumni groups, clubs and sabhas travelling together, usually on a fixed date with a coordinator along.

Brief, quote, block, travel
Tell us the brief
Rough headcount, rough dates, where you want to go, and what you want to spend per head. That is enough for a first quote.
We quote and hold
We come back with the fare, the hotels and the payment schedule. Once you are happy, a deposit blocks the seats and the rooms.
Names and rooming
Passport details and the rooming list follow later, to the airline's deadline rather than ours. We chase the stragglers.
Documents and departure
Visas lodged from our counter, tickets issued, transfers confirmed, and one manifest for the whole group.
Know before you quote
What changes once it's a group
None of this is our policy. It is how airlines, hotels and coach operators price group travel. Knowing it up front is what stops a quote moving after you have told everyone the price.
- Group fares
- Blocked seats price differently from individual tickets and are held on a deposit while names are collected. Group fare rules also govern how late a name can still be changed.
- Minimum numbers
- Some escorted programmes need a minimum to operate, the London & West Europe tour runs with a minimum of 20 passengers. We tell you the threshold before you commit to anything.
- Rooming & supplements
- Quotes are normally per person on twin sharing. Single rooms, triples and connecting rooms all move the figure, so send us the rooming shape early.
- Vehicles
- Coaches come in fixed capacities, so 45 travellers and 50 travellers can be two different quotes. Luggage volume matters as much as headcount.
- One invoice
- One booking reference, one invoice and one point of contact, rather than every traveller paying separately and nobody knowing who has.

Group booking questions
How small can a group be?
There is no floor for a private group, a family of six on its own vehicle is a group as far as we are concerned. Airline group fares generally start around ten passengers, and some escorted programmes carry their own minimum, which we tell you up front.
Do we have to give all the names when we book?
No. A deposit blocks the seats and the names follow to the airline's deadline. That is the main practical reason to book a group through an agency rather than buying individual tickets.
Can you invoice our company directly?
Yes. Tell us what your finance team needs on the invoice and in what format, and we issue it that way, along with the passenger manifest.
Can you handle guests flying in from several countries?
Yes, and it is common for weddings. We ticket on all airlines, so guests can arrive from different origins and still be met at KLIA and moved together from there.
What if our numbers change after we book?
Some movement is normal and we plan for it. How much is free depends on the airline's group fare rules and the hotel's terms, which we set out in writing when we quote so there are no surprises later.
